Scheduling Waitlist Visits

Overview

This guide explains how to schedule visits directly from the Waitlist, whether you are placing one visit or batching several at once.


Scheduling From the Waitlist

Step 1: Open the Waitlist

  1. Go to Schedule in your left navigation.

  2. Select the Waitlist tab to view all visits that are ready to be scheduled.


Step 2: Schedule a Single Visit

To schedule one visit at a time:

  1. Locate the visit you want to schedule.

  2. Click the Calendar Icon on the right side of the visit row.

  3. A scheduling prompt will appear asking you to choose a date.

Confirming the Schedule

  • Click the ✓ Icon to add the visit to the schedule.

  • Click the X Icon to cancel.


Step 3: Schedule Multiple Visits

If you want to schedule several visits at once:

  1. Select the checkboxes on the left side of each visit row.

  2. At the bottom of the screen, click Add to Schedule.

  3. Choose the date you’d like to place all selected visits on the schedule.

Confirming the Batch Schedule

  • Click the ✓ Icon to add all selected visits to the schedule.

  • Click the X Icon to cancel the action.


Best Practices for Scheduling From the Waitlist

  • Review each visit’s Earliest Date and Latest Date before scheduling.

  • Use batch scheduling to quickly fill open dates during high-demand seasons.

  • If a visit is not ready to be scheduled, update its date range instead of placing it prematurely.


Using the Waitlist Drawer on the Schedule

The Waitlist Drawer allows you to review and schedule waitlisted items without leaving the Schedule page. This helps you compare availability, adjust timing, and add items directly to the calendar.

Viewing Waitlist Items on the Schedule

  1. Open the Schedule page.

  2. Click Show Waitlist to open the Waitlist Drawer.

  3. The drawer automatically filters waitlist items to the date range currently visible on your schedule

Example: If you’re viewing the week of November 24–30, the drawer will show waitlisted items eligible for that week.


Adding a Waitlist Item to the Schedule

  1. Review the available time slots on your schedule.

  2. In the Waitlist Drawer, locate the item you want to schedule.

  3. Select a date that has availability.

  4. Click Add to Schedule.

Example:

  • If you see an overdue project in the waitlist and notice availability starting Tuesday, simply select Tuesday, November 25, then click Add to Schedule.

  • You’ll see a confirmation message, and the item will appear immediately on that day in your schedule.


Adding Multiple Waitlist Items

You can repeat the process to quickly schedule multiple items in the same view.
