Overview

The Waitlist in Copilot allows you to create upcoming visits without assigning them to the schedule yet. This feature helps you plan future work flexibly while maintaining visibility into what’s coming up.

What the Waitlist Does

The Waitlist helps you manage unscheduled work by setting both an Earliest Date and a Latest Date for each visit. This lets you define a time window for when a job should occur—without committing to an exact date.

Example:
If you need to complete a tree installation sometime between March 1 and April 30, 2026, you can:

  • Create the visit

  • Set pricing and assign a crew

  • Leave it on the Waitlist until you’re ready to schedule a specific date

This flexibility ensures you can plan work ahead while keeping your schedule balanced and realistic.


Viewing and Managing Waitlist Visits

When viewing the Waitlist, you’ll see counters at the top showing:

  • All: Total number of visits on the Waitlist

  • Due Soon: Visits approaching their latest date

  • Overdue: Visits that have passed their latest date

These counters make it easy to identify which visits need scheduling attention.

You can:

  • Filter visits by specific criteria (e.g., customer, crew, or date range)

  • Search for a specific visit by name or property

Each visit row displays key details such as:

  • Event Name

  • Earliest and Latest Dates

  • Crew or Employee

  • Customer

  • Property

  • Budgeted Hours (BH)

  • Status

  • Notes

  • Total (Price)

⭐️ Clicking on linked items (such as customer or property) will open their corresponding pages for more context.


Editing a Waitlist Visit

Click any visit row to open the Edit Visit page. From there, you can:

  • Adjust details like title, pricing, crew, or dates

  • Add notes, tags, and attachments

  • Review linked customer and property information

To save your changes, click Update Visit at the bottom of the page.


Adding a Visit to the Schedule

When you’re ready to place a visit on the schedule, you have two options:

  1. Add a Single Visit:
    Click Add to schedule on the right-hand side of a specific visit row.

  2. Add Multiple Visits:

    • Select multiple visits using the checkboxes.

    • Click Add to schedule at the bottom of the list.

In both cases, Copilot will prompt you to choose the exact date to schedule the selected visits.

  • Maintain visibility into upcoming jobs

  • Plan workloads without overbooking crews

  • Ensure that no future work falls through the cracks

By keeping unscheduled visits organized, your team can schedule efficiently and stay on top of upcoming commitments.
