Overview
This guide walks you through how to manually add a visit to the Waitlist in Copilot.
Use this when a customer's visit needs to be added to the service queue, but you don't know exactly which date yet.
Step 1: Create a Visit
You can start a new visit from two places:
From an Estimate – Open an estimate and click Create Visit.
From the Schedule – Go to Schedule, then click Create Visit.
Enter Visit Details
When the visit creation panel opens, fill in the required information:
Title – Brief description of the visit.
Customer & Property – Assign the correct contact and property.
Item/Service – Add at least one service or line item.
Step 2: Add the Visit to the Waitlist
Open the Scheduling dropdown within the visit creation panel.
Click Add to Waitlist.
Select Date Range
You’ll now choose the time window in which the visit can occur:
Earliest Date – The first day the visit could take place.
Latest Date – The final day the visit could take place.
The Waitlist relies on these dates to help you schedule the visit when availability opens.
Step 3: Finalize the Visit
Review the visit details, including the Waitlist date range.
Click Create Visit at the bottom of the screen.
The visit is now added to the Waitlist and will appear in your list of waiting visits until it is scheduled.
Best Practices for Waitlisted Visits
Keep the title descriptive so team members know the visit’s purpose.
Use a realistic date range to help the system surface the visit when openings appear.
Review the Waitlist regularly to assign visits as your schedule evolves.
Update or remove waitlisted visits as needed to keep your queue accurate.
