Editing an Existing Recurring Series of Visits

Learn how to edit details, schedules, and assignments for a recurring visit series in Copilot.

Introduction

Recurring series of visits are flexible and can be updated at any time. Whether you need to change the schedule, adjust services, assign a new crew, or add an Off-Season, you can edit the entire series from the schedule.


Step 1: Locate the Recurring Series

  1. Go to Team > Schedule.

  2. Click the Recurring tab at the top of the page.

  3. Find the recurring series you want to update.

  4. Click the pencil icon to open the series editor.


Step 2: Edit Visit Details

In the editor, you can make changes to key details of the series:

  • Customer and Property – Update if needed.

  • Contract / Level Billing Agreement – Change or add if the series is tied to a contract.

  • Items/Services – Add, remove, or edit the services performed at each visit.

  • Notes, Tags, To-Do’s, Photos – Update supporting information.


Step 3: Adjust Recurrence Settings

Under the Type section, you can:

  • Switch between Daily, Weekly, Monthly, or Yearly recurrence.

  • Change frequency (e.g., from weekly to every 2 weeks).

  • Update the Effective Start Date or Time of Day.

  • Edit the End Date, total number of visits, or set the series as Indefinite.

Control when edits apply

  • Any changes you make apply only to visits on or after the Effective Start Date you choose.

  • Example: If your series runs Jan 1–Dec 31 and you edit it with an effective start date of July 15, only visits from July 15 onward will be updated.

Important considerations

  • Adjusting recurrence patterns updates the schedule for all future visits in the series.

  • Past visits (before your chosen effective date) remain unchanged.

This flexibility allows you to refine schedules mid-season without losing historical visit data.

Step 4: Add or Edit Off-Seasons

  1. Scroll to Pause During Off-Season.

  2. Check the box to enable Off-Seasons.

  3. Select from existing Off-Seasons or click + Add Season to create a new one.

Note: Off-Seasons can also be managed globally from Settings > List Items Visibility.

If off-season configurations do not work as intended (e.g., recurring visits do not resume), ensure that the recurring series is set to "continue indefinitely" or that its end date extends beyond the off-season. Additionally, verify the accuracy of the off-season date range and its linkage to the recurring series.


Step 5: Reassign Crews or Employees

In the Employees section, you can:

  • Assign a different crew or individual employee.

  • Remove existing assignments.

  • Split assignments across multiple teams if needed.


Step 6: Save Your Changes

Once you’ve finished making updates:

  1. Review your changes.

  2. Click Save.

Your recurring series will update with the new details.

Important: Changes apply to the entire series of visits. To edit just one visit, open that single event from the schedule and update it individually.
