Setup Guide: Creating Recurring Visits

Learn how to schedule recurring visits in Copilot, including indefinite visits, biweekly patterns, and off-season options

Introduction

Recurring visits let you automatically schedule repeat services for a customer on a regular basis (e.g., weekly, every two weeks, monthly). This guide shows you how to create a recurring series of visits, assign services and crews, and use advanced options like indefinite scheduling and off-seasons.


Step 1: Start a New Visit

  1. Navigate to Team > Schedule from the left-hand menu.

  2. Click + New Event, then select Visit to Customer.

This opens the Create New Visit page.


Step 2: Add Visit Details

On the Create New Visit page:

  • Name the Visit – Choose a descriptive name.

  • Select the Customer and Property – Both are required.

  • (Optional) Select a Contract / Level Billing Agreement if the visit is part of a contract.

    • This ensures services are tracked to the contract without creating invoices for each visit.

  • Add the Items/Services to be performed.

    • If services are already set up for the property, they will auto-fill.


Step 3: Choose Recurrence Type

  1. In the Type section, select Recurring Series of Visits from the dropdown.

  2. Choose a recurrence pattern:

    • Daily

    • Weekly (every week or every 2 weeks, on specific days)

    • Monthly

    • Yearly

Example: To service a customer every two weeks on Thursday, select Weekly, then set it to every 2 weeks, Thursday.


Step 4: Set Start and End Dates

  • Start Date – Choose the first visit date (this will be the first scheduled and routed visit).

  • End Options – You can choose:

    • A fixed Last Date of Service

    • A set Number of Occurrences (e.g., 32 visits)

    • Indefinite (ongoing until you stop the series manually)

Note: Indefinite visits are best for long-term or ongoing customers.


Step 5: Add Optional Settings

You can customize recurring visits further with these options:

  • Off-seasons – Pause visits during times when service is not needed.

  • Start Time of Day – Helps with scheduling, but not required.

  • Visit Forms – Attach forms that should be filled out during each visit.

  • Notes, Tags, To-do’s, Photos – Add supporting information.

  • Assign Employees or Crews – Choose who will handle this series of visits.

  • Color Code – Helps visually organize the schedule.


Step 6: Save the Series

Once all details are set:

  1. Review your selections.

  2. Click Create Visits.

  3. The recurring series will now appear in your schedule according to the pattern you chose.

💡 You can edit individual visits or the entire series later.
