Introduction
The Dispatch Board in Copilot CRM is designed for your admin role to efficiently manage daily and weekly routes. From this page, you can assign jobs, monitor field technicians in real time, optimize routes, and communicate directly with crews throughout the day.
What Is the Dispatch Board?
The Dispatch Board is your admin's central hub for managing field operations day to day. It helps you:
Plan and organize routes for field employees.
Monitor real-time On-Site statuses of field techs.
View dispatch notes from the field as they’re entered.
Perform bulk actions such as completing, reassigning, or messaging from visits.
Keep customer communication flowing smoothly while jobs are underway.
You can access it by going to Team > Dispatch Board.
Layout Overview
When you open the Dispatch Board, you’ll see two main sections:
1. Map View (Top of Page)
The map displays your selected visits for the chosen date range.
Each stop appears with a number indicating its order in the route.
The map updates automatically as you add or reorder visits.
2. Event List (Bottom of Page)
Below the map is a list of all assigned events—including visits, meetings, and To-Dos—for the selected date range.
By default, the Dispatch Board shows Today’s events.
You can adjust the date range to view past or future schedules.
Selecting Events
Each event in the list has a checkbox beside it.
Selecting checkboxes allows you to:
Perform bulk actions, such as:
Complete selected visits
Move events
Assign crews or employees
Send SMS or Email communication to customers
Optimizing Your Routes
You can optimize and save routes for maximum efficiency.
Check the boxes beside the visits you want to adjust routing for.
Click the Order Stops button above the list.
Choose from the following options:
Option 1: Order sequentially & save
Manually order your selected visits the way you prefer.
Drag or reorder visits in the list.
Click Order sequentially & Save to lock in your custom sequence.
This option is ideal if you want to control route order manually rather than using smart optimization.
Option 2: Reverse order & save
If your optimized route runs in the opposite direction of what you want, use Reverse order & Save to instantly mirror the order of selected visits.
Option 3: Optimize & save
Automatically arranges the visits in the most efficient order based on your route start and stop locations.
By default, Copilot uses your business address in Settings > Your Business Profile.
To change the route start or stop point (for example, if your crew begins or ends their day elsewhere), go to Settings > Preferences > Maps and Routes.
How it works:
Copilot routes visits in a “U” shape, meaning crews start near the designated start location, work outward, and then finish closest to the stop location—minimizing drive time and maximizing efficiency.
Saving Routes for Future Weeks
If you have a series of visits that recur in the same order weekly or bi-weekly, you can save their order once on the Dispatch Board, and then save that to be used for future weeks.
To do this:
Check the boxes beside the visits you want to adjust routing for.
Save the order for today first.
Then, once that has been saved, click the "Apply to future weeks" dropdown at the top of the list.
Choose from the following options:
Apply for every week
This saves the visit order for future visits in the same series that occur on the same day of the week.
For example, saving today’s Thursday visit order will apply that order to future Thursdays, not to visits on other days.
Apply for every other week
This saves the visit order for future visits in the same series that occur every other week, starting with the current week.
For example, if you save today’s Thursday visit order, that order will apply to every other Thursday moving forward, beginning with this week.
To successfully apply orders for future weeks, you have to first save the order for today. If the current route order on the screen has not been saved for today, the "Apply to future weeks" option will use the last saved order.
Daily Use Tips
Use the Dispatch Board throughout the day to monitor technician progress and On-Site status.
Read and respond to dispatch notes from the field in real time.
Combine map visualization and list filtering to balance workloads or reassign routes mid-day.
Example
If your crew starts the day at the shop, works across town, and returns near the office, the Optimize & save feature will automatically arrange stops in that efficient “U” pattern.
If you prefer to start at the far end and work back, simply use Reverse order & save to flip it.
Tip
The Dispatch Board is best suited for admin/office staff managing multiple crews.
Field employees typically operate from the Schedule page, while dispatchers use the Dispatch Board for a full, real-time overview of all activity.
