Setup Guide: Creating and Managing Off-Seasons

Learn how to set Off-Seasons on recurring visits so they don’t appear on your schedule during downtime.

Introduction

Off-Seasons let you temporarily pause recurring visits during times when service isn’t needed (e.g., winter for lawn care or fall/winter for pool maintenance). You can set an Off-Season when creating a new recurring visit, when editing an existing series, or directly from the recurring visits list.

💡 Only one Off-season can be applied to a recurring series of visits at a time.


Step 1: Add an Off-Season During Event Creation

When creating a new recurring series of visits:

  1. Go to Team > Schedule, click + New Event, then choose Visit to Customer.

  2. On the Create New Visit page, select Recurring Series of Visits under the Type section.

  3. Scroll down to Pause During Off-Season.

  4. Check the box and select an Off-Season from the dropdown.

  5. (Optional) Click + Add Season to create a new Off-Season if none of the previously-created ones apply.

  6. Continue setting up the visit as usual, then click Create Visit to save.

Example: Set a lawn care visit series to pause from November–March.


Step 2: Add or Edit an Off-Season on an Existing Series

To add an Off-Season to an existing recurring visit series:

  1. Go to Team > Schedule.

  2. Click the Recurring tab at the top.

  3. Locate the series you want to edit, then click the pencil icon.

  4. Scroll to the Pause During Off-Season section.

  5. Select the Off-Season from the dropdown.

  6. (Optional) Click + Add Season to create a new one.

  7. Changes will save automatically.

Important: Updates here apply to the entire series, not just individual visits.


Step 3: Apply Off-Seasons from the Recurring Events List

You can also set Off-Seasons in bulk from the recurring list view:

  1. Go to Team > Schedule > Recurring.

  2. Check the box beside one or more recurring series.

  3. Click Set Off-Season for Selected Series.

  4. Choose the Off-Season period from the dropdown.

This is useful if you need to quickly apply Off-Seasons across multiple customers.


Step 4: Manage All Off-Seasons in Settings

You can create, edit, or delete Off-Seasons from one central location:

  1. Go to Settings > List Items Visibility.

  2. Scroll to the Off-Seasons section.

  3. From here you can:

    • Create new Off-Seasons

    • Edit existing Off-Seasons

    • Delete Off-Seasons you no longer need

Note: Changes made here update the options available in all recurring visit setups.
