Troubleshooting: Updating Off-Season Dates Fails or Times Out

When you update an off-season that has a large number of recurring events or series, the operation may fail, stall, or take a very long time to complete. This article explains why that happens and provides a recommended workaround to ensure your updates go through successfully.

We are actively working on a queuing system that will remove the need for this workaround. In the meantime, here’s what we recommend.

Why Off-Season Updates Struggle Under Heavy Load

When you edit an off-season’s start or end dates, Homeworks must update every recurring series attached to that off-season. For teams with hundreds or thousands of series, this creates a massive background workload that can overload the processing queue.

Common symptoms include:

  • Long delays after saving an off-season update.

  • Incomplete changes where only part of your series update.

  • Timeout errors or failed updates.

This happens because all series updates are attempted at once, and the server load can exceed system limits.

Recommended Workaround: Create a New Off-Season and Reassign Series

Instead of editing the existing off-season, the most reliable solution is to create a new off-season with your desired date range and reassign your series in manageable batches.

Step 1: Create the New Off-Season

  1. Go to Settings > List Items Visibility.

  2. Click New Off-Season.

  3. Enter your updated start and end dates.

  4. Give it a clear name (for example, Winter 2025 New).

  5. Click Save.

Step 2: Adjust Page Settings for Bulk Updates

  1. Navigate to Settings > Records on Page.

  2. Set Records on Page to 50 (to give the system some breathing room).

This ensures you can process 50 series per batch for faster reassignment.

Step 3: Filter and Select the Original Off-Season

  1. Go to Team > Schedule > Recurring.

  2. Use the Filter to display all series assigned to your old off-season (e.g., Winter 2025).

  3. Once filtered, select all 50 series on the page.

Step 4: Use Bulk Action to Assign to the New Off-Season

  1. Click the Top Check box > Set Off-Season for Selected Series.

  2. In the modal, choose your new off-season (e.g., Winter 2025 New).

  3. Confirm to apply.

Step 5: Repeat as Needed

  • If you have more than 50 series, move through each page of results and repeat the bulk action.

  • Once complete, all your series will be linked to the new off-season with the updated dates.

Note: Updating a large group of series at once may take a few (~10) minutes to update.

Why This Works Better

By creating a new off-season and moving series in smaller batches:

  • You avoid large processing queues that can time out.

  • The update runs faster and more reliably.

  • You maintain clean data separation between old and new date ranges.

Important: The bulk action currently only applies to records visible on the page. The 50-record limit is intentional to prevent overload.

Example

If your old off-season “Winter 2025” has 2,000 recurring events:

  • Create Winter 2025 New.

  • Filter by Winter 2025.

  • Bulk update 50 series at a time across 40 pages.

Each batch will process without overwhelming the system.

Summary

If your off-season update fails or lags, don’t edit the dates directly. Instead, create a new off-season and reassign series in batches of 50 using the Set Off-Season for Selected Series bulk action. This method ensures your updates complete efficiently and avoids processing bottlenecks.
