Workflow: Rescheduling Visits from the Dispatch Board

Updated over 2 months ago

Overview

The Dispatch Board gives office staff the flexibility to manage scheduling changes in real time without needing to switch back to the Schedule page. You can easily move single or multiple visits to a new date using the bulk rescheduling tool.

Step 1: Open the Dispatch Board

  1. From your Copilot dashboard, go to Team > Dispatch Board.

  2. Scroll down to the list of visits below the map view.

This section displays all events (visits, To-Dos, or meetings) for the selected date or date range.

Step 2: Select the Visits to Reschedule

  1. Use the checkboxes on the left-hand side to select the visits you want to move.

  2. To select all visits, click the top checkbox next to the Order column header.

  3. To select a range quickly, click the first visit’s checkbox, then hold Shift and click the last visit’s checkbox — this will select all visits in between.

This makes it easy to reschedule multiple stops for a crew or an entire day’s route at once.

Step 3: Move the Selected Visits

  1. With your visits selected, click the Move These Events button at the top of the list.

  2. A calendar pop-up will appear.

  3. Select the new date you want to move the visits to.

Step 4: Apply the Move to Selected or Recurring Events

In the same pop-up, you’ll see an additional checkbox option:

  • Move All Future Events for Recurring/Multi-Step Events

    • If unchecked, only the visits you selected will be rescheduled.

    • If checked, the entire recurring series tied to those visits will update to reflect the new schedule.

Once you’ve made your selection, click Move to finalize the reschedule.

Step 5: Review the Updated Schedule

After moving visits:

  • The changes will appear immediately on the Dispatch Board map and visit list.

  • If you moved recurring visits, future events in that series will automatically adjust based on your selection.

Tip

Use the Dispatch Board for real-time schedule adjustments throughout the day, such as moving visits due to weather, route changes, or equipment issues — without disrupting ongoing operations or requiring access to the full calendar view.
