Adding Notes for the Dispatcher

Overview

The Notes for the Dispatcher feature in Copilot CRM allows field employees to communicate important updates or issues directly to the office staff while completing visits. These notes ensure that the office informed of anything that occurs in the field — without needing separate calls or messages.


Step 1: Open the Visit from the Schedule

  1. From the field view, go to your Schedule page.

  2. Select the visit you’re currently completing or need to leave a note about.

  3. This will open the visit details page.


Step 2: Add a Note for the Dispatcher

  1. Scroll down to the Notes for the Dispatcher section within the visit.

  2. Click + Add New Note.

  3. Enter your message or observation — for example:

    • “Gate was locked and nobody was home — couldn’t mow the backyard.”

    • “Sprinklers were on, reschedule for tomorrow.”

  4. Once entered, your note is automatically saved and visible to the office staff through the Dispatch Board.


Step 3: Viewing Notes from the Dispatch Board (Office Staff)

Back in the office, dispatchers can view all notes left by field employees directly from the Dispatch Board.

  • Each note appears within the associated visit and on the list, allowing the dispatcher to review field updates in real time.

  • This helps the office team respond quickly — such as contacting customers, rescheduling services, or updating job statuses.


Example

A field employee mowing a residential property might leave the following note:

“Customer wasn’t home and dogs were in the yard — could not access backyard.”

The dispatcher can then review this note from the Dispatch Board, mark the visit accordingly, and follow up with the customer.


Tip

Encourage field employees to leave Notes for the Dispatcher whenever there’s an issue or special circumstance during a visit. This creates a clear communication trail and ensures that office staff always have the latest information from the field.
