Feature Guide: Quick Dispatch

Overview

The Quick Dispatch feature in Copilot CRM allows you to instantly schedule multiple visits at once — ideal for fast-moving or weather-dependent services like snow plowing, salting, or storm cleanup.

Instead of manually creating each visit, Quick Dispatch lets you build a template that automatically adds the same service to all selected properties with just a few clicks.


What Is Quick Dispatch?

Quick Dispatch is designed for services that need to be scheduled abruptly or in bulk — such as when snow starts falling, or a storm cleanup route needs to be dispatched quickly.

Example:
If you run a snow plowing business, you may have 100 customers signed up for plowing each time it snows.


With Quick Dispatch, you can create a Snow Plowing template that includes:

  • All 100 customer properties

  • The snow plowing service

  • Assigned employees or crews

  • Estimated duration and pricing

Then, when it snows, you simply deploy that template to instantly schedule all 100 visits at once — no manual entry required.


Step 1: Access Quick Dispatch

  1. Go to Team > Dispatch Board.

  2. Find and open the Quick Dispatch option near the top of the page.

This is your shortcut for mass scheduling and dispatching visits.


Step 2: Create a Quick Dispatch Template

You’ll first create your template so it’s ready for quick use later.

  1. Start by adding all of the properties that will be part of this service group.

  2. Once all properties are added, select the service you want to perform — for example, Snow Plowing.

    Here’s the key:

    When you add a service (like Snow Plowing), Copilot automatically assigns that service to every property in the template at once.

    This saves you from having to manually select each property or add the service one by one — it’s applied across all selected properties in a single step.

  3. Add any other details like assigned crews, employees, estimated duration, and cost per visit.

  4. Click Save Template when finished.

Your Quick Dispatch template is now ready to deploy whenever the service is needed.


Step 3: Deploy Your Quick Dispatch Template

When it’s time to perform the service:

  1. Go to Team > Dispatch Board.

  2. Open Quick Dispatch and select the relevant template.

  3. Choose the date and assign the crew or employee responsible for the work.

  4. Click Dispatch to instantly schedule all visits for that day.

All visits and assigned services will immediately appear on your Dispatch Board and Schedule pages.

Example

You create a Snow Plowing – Route 1 template with 100 properties.
When snow hits, you open Quick Dispatch, choose that template, and deploy it for today’s date.


In seconds, Copilot adds a snow plowing visit — with the correct service, crew, and duration — to every property in the list.


Tip

Quick Dispatch is best used for recurring or large-volume jobs that happen on an unpredictable schedule.


Build your templates in advance so when the weather (or workload) changes, your team can be on the road within minutes.
