Overview
In Copilot, invoices can be created automatically or manually depending on your workflow.
Most invoices are generated when you complete visits, but you can also create them manually from the Invoices page.
Automatic Invoicing (Most Common Method)
The most common way invoices are created in Copilot is by completing visits.
When a visit is marked as Complete and the Invoiceable box is checked, Copilot automatically generates an invoice for the services listed on that visit.
This ensures your billing stays up to date with your team’s completed work — no manual entry required.
Manual Invoicing
If you need to create an invoice manually — for example, for a one-time charge or a non-scheduled service — follow the steps below.
Step 1: Open the Invoices Page
Go to Finances > Invoices.
Click the New Invoice button in the top-right corner.
This opens a blank invoice form.
Step 2: Select the Customer
In the Customer dropdown, select the customer you’re billing.
If the customer doesn’t exist yet, click the + button to add them.
Step 3: Add Items and Services
Under Items & Services, add the line items you want to include on the invoice.
You can select individual Items & Services from your list.
You can also add Packages to include a group of items or services together.
Adjust quantity, rate, and taxes as needed.
Step 4: Review Terms and Notes
Below the item list, you’ll see two editable sections:
Terms – Defines the payment due date (e.g., Net 15, Due Upon Receipt).
Notes Visible for Customer – Lets you include a message or any relevant details for the customer.
You can customize these per invoice or set company-wide defaults in your Invoice Settings.
Step 5: Save the Invoice
Once everything looks correct:
Click Save Invoice.
The invoice will appear in your Invoices list under Finances > Invoices.
Tip
After saving, you can:
Send the invoice via Email, Text, or Regular Mail.
Mark as Sent manually if you’ve already shared it outside Copilot.
Record Payments once the customer pays, or apply existing Customer Credits.
