Schedule Settings

Introduction

This article covers all schedule-related settings available in Copilot. These options let you control how your schedule behaves by default โ€” including how visits close, how recurring events move, and how To-Dos and Meetings are organized.

You can access schedule settings by clicking the gear icon (โš™๏ธ) in the top-right corner of your Copilot screen.


Closed Visit Position

How to Access

  1. Go to Settings (gear icon) > Preferences.

  2. Locate the Closed Visit Position setting.

Options

  • Visits stay in their current position when closed: Keeps completed visits in the same route order for historical accuracy.

  • Move closed visits to the bottom: Automatically moves completed visits to the bottom of the list, keeping upcoming visits at the top for better visibility.


Scheduler

How to Access

  1. Go to Settings > Preferences.

  2. Scroll down to the Scheduler section.

Available Settings

  • Move all related, open recurring events when moving any recurring event on the calendar:
    When checked, moving a single recurring event will move the entire recurring series.

  • Event/Visit Days:
    Set which days of the week your business operates so the system avoids closed days when scheduling events in bulk.

  • Default Calendar View for Desktop:
    Choose how your desktop calendar appears by default:

    • Views: Today, This Week, or This Month

    • Display Options: Calendar View or Grid (List) View

  • Default Calendar View for Mobile:
    Choose how your calendar appears in the mobile app:

    • Views: Today, This Week, or This Month

    • Display Options: Calendar View or Grid (List) View

  • Default Budgeted Hours for Meetings:
    Set a pre-filled number of budgeted hours when creating new meetings. You can still adjust this on individual meetings as needed.

  • Default Budgeted Hours for To-Dos:
    Set a pre-filled number of budgeted hours for new To-Dos. This saves time if most tasks take a predictable amount of time.


Off-Seasons

Off-Seasons allow you to pause recurring services during slow periods or non-operational times (like winter months).


To-Do Categories

To-Do Categories help you segment internal tasks in Copilot, making it easier to organize and filter To-Dos by type.

How to Create and Manage To-Do Categories

  1. Go to Settings (gear icon) > List Items Visibility.

  2. Add, edit, or delete To-Do Categories as needed.

  3. Click +NEW in the top-right corner of your screen and select To-Do.

  4. In the Category field, choose your desired To-Do category from the dropdown list.

Example:

You might create To-Do categories like Clean Bathrooms, Customer Follow-Up, or Lock the Shop to better organize your teamโ€™s daily tasks.


Meeting Categories

Meeting Categories help you organize and filter meetings for better internal coordination.

How to Create and Manage Meeting Categories

  1. Go to Settings (gear icon) > List Items Visibility.

  2. Add, edit, or delete Meeting Categories as needed.

  3. Click +NEW in the top-right corner of your screen and select Meeting.

  4. In the Category field, select your preferred Meeting category from the dropdown list.

Example:

You might create Meeting categories like In-Person Estimate, Employee Interview, or Team Meeting to keep your schedule organized.
