How to Edit Tracked Time on a Completed Visit

Introduction

Sometimes you may need to adjust a time entry on a completed visit β€” whether an employee forgot to clock out, started late, or tracked time to the wrong category.

Copilot makes it easy to review and edit these time entries directly from the Time Tracking page.


Step 1: Open the Time Tracking Page

  1. Go to Team > Time Tracking from the left-hand menu.

  2. Once on the Tracked Time tab, use the filters at the top to narrow your search by:

    • Employee

    • Customer

    • Property

    • Date range

This will help you quickly locate the visit you want to adjust.


Step 2: Edit the Time Entry

  1. Find the completed visit in your list.

  2. Under the Actions column, click the pencil icon (✏️) to open the Edit Time Tracking page.

  3. On this screen, you can modify key details, including:

    • Start and End Times

    • Work Category (e.g., General Work, Visit, Driving)

    • Notes or Comments

Make any necessary changes to reflect accurate time tracking.


Step 3: Save Your Changes

After editing the entry:

  1. Review the updated details for accuracy.

  2. Click Update to save your changes.

Your edits will immediately apply to reports, payroll summaries, and time tracking logs.


Best Practices

  • Review edited time entries regularly to maintain accurate reporting.

  • Only supervisors or administrators should have permission to edit time for compliance tracking.

  • If employees frequently forget to clock out, consider enabling Auto Clock-Out at Midnight under Team > Time Tracking > Settings to help prevent errors.
