Tracking Mileage with Routes

Overview

The Routing feature in Copilot CRM allows you to automatically track mileage for your trucks or equipment based on assigned routes. This helps you monitor vehicle usage, manage fuel costs, and maintain accurate maintenance records.


Step 1: Add Your Equipment

  1. Go to Resources > Trucks/Equipment.

  2. Add each piece of equipment or vehicle that you want to track mileage for.

  3. When adding equipment, assign it to a specific employee or crew.

Note:
If you’ve already created your equipment, you can go back later and edit it to assign a crew or employee.


Step 2: Assign Equipment to Visits

When scheduling or creating visits:

  1. Assign the same employee or crew that is linked to the equipment.

  2. This allows Copilot to track mileage accurately for the correct vehicle during routing.

Example:
If Crew A uses Truck 1, make sure every visit assigned to Crew A also links back to that truck. The system will then track all mileage completed on those routes.


Step 4: Run Mileage Reports

Once your equipment and visits are correctly assigned:

  1. Go to the Reports tab.

  2. Scroll down to the Routes section.

  3. Open the Truck Mileage Report to view mileage totals by truck, crew, or date range.


Tip

Accurate mileage tracking depends on proper assignment:

  • Make sure each visit has the correct crew or employee assigned.

  • Confirm that every crew is linked to the right truck or equipment.

This ensures Copilot can automatically log the correct mileage without manual entry.
