Introduction
Sometimes, an employee may forget to clock in for general work or a specific visit. Copilot allows administrators and managers to manually add or adjust time entries to ensure accurate payroll and reporting.
Important Notes
General Work: You can manually add time for general work at any time.
Visits: If an employee forgot to clock into a visit, they’ll first need to quick clock in and out of that visit to generate a time log. Once the log exists, you can edit the start and end times.
You cannot create a brand-new visit time log without an existing clock-in/clock-out entry.
Step 1: Open the Time Tracking Page
Click Team from the left-hand menu.
Select Time Tracking.
On the Tracked Time tab, click the + Add Time button at the top right.
Step 2: Fill Out the Time Entry Details
In the Add Time window, complete the following fields:
Employee: Select the employee the time entry belongs to.
Customer: Choose the customer associated with this time entry.
Property: Select the property (if applicable).
Category: Choose the type of work (e.g., General Work, Visit, Driving, Meeting).
Date: Enter the date of the work.
Start Time / End Time: Specify the exact hours worked.
Step 3: Save the Entry
Once all details are entered, click Add Time to save the entry.
The new time record will appear on the Tracked Time page and be included in reports and payroll exports.
Best Practices
Review all manually added entries weekly to prevent duplicates or overlaps.
Add notes when possible for transparency (e.g., “Employee forgot to clock in at start of day”).
Use the Approved Tracked Time page to verify entries after manual adjustments.
