Setup Guide: Requiring Employees to Clock In Before Viewing the Schedule

Introduction

This guide explains how to require employees to clock in before accessing the schedule in Copilot. This feature helps ensure accurate time tracking and accountability across your team.


How the Clock-In Requirement Works

Employees Required to Clock In

  • Must clock in before accessing the calendar.

  • Will have time tracked automatically for “General Work” until they clock out.

Employees Not Required to Clock In

  • Can access the calendar without clocking in first.

  • Can manually start or stop tracking time as needed (no time tracked by default).


Step 1: Open Time Tracking Settings

  1. Click the Team tab in the left-hand menu.

  2. Select the Time Tracking tab.

  3. Under the Time Tracking tab, click the Settings section.


Step 2: Enable or Disable the Clock-In Requirement

  1. In the Time Tracking Settings page, you’ll see a list of all employees.

  2. Use the toggles next to each employee’s name to choose whether clock-in is required before they can access the schedule.

  3. Click Save to confirm your changes.

This allows you to require clock in's on a per-employee basis, so that some are required to clock in to see the schedule, while others are not required to clock in.


Best Practices

  • Require clock-in for field employees or crews to ensure accurate time reporting.

  • Leave the setting off for office staff or dispatchers who need quick access to the schedule without time tracking.

  • Review employee clock-ins regularly in the Time Tracking tab.
