Best Practices: Every Employee Should Have Their Own Login

Give every employee their own Copilot login for accurate time tracking and accountability.

Updated over 4 months ago

Introduction

For accurate reporting and accountability, each team member should log into Copilot with their own account. Shared logins make it difficult to track hours, measure performance, and assign responsibility.

Why This Matters

  • Accurate Time Tracking — Each employee’s hours are tied directly to their login.

  • Better Reporting — Reports reflect individual contributions and performance.

  • Accountability — Logins ensure you always know who completed a visit or update.

Important: Using one shared login creates gaps in reporting and prevents you from seeing who is responsible for each action.

How to Set Up Employee Logins

  1. Go to Team > Employees in Copilot.

  2. Click + Add Employee.

  3. Enter the employee’s information and assign their role.

  4. Save and send them their login details.

Cost of Additional Logins

  • Each active user login costs $15/month.

  • You can deactivate users at any time if they are seasonal or no longer with your company.

Best Practice in Action

When scheduling visits:

  • Assign the visit to the correct employee.

  • Track time and job completion under their profile.

  • Review reports to see hours worked, visits completed, and performance trends.

By giving every employee their own login, you’ll unlock accurate data that helps you manage your team and grow your business.
