Scheduling a Job from an Estimate

Overview

Once a customer accepts an estimate, you can schedule visits (jobs) based on the approved line items. This article explains how visits are created from estimates and how scheduling statuses help you track whether all work has been fully scheduled.


How Visits from Estimates Work

When creating a visit from an estimate:

  • You can only add line items to a visit on the property assigned to that line item.

  • If none of the estimate’s line items are assigned to a property, you’ll be prompted to select one before scheduling.

  • If a “Primary” property doesn’t appear as expected, verify that each line item has a Property selected.

Estimate Scheduled Statuses

Accepted estimates display a scheduled status in both the Estimates table and on the estimate detail page.

Statuses include:

  • Not Scheduled — No line items are associated with a visit.

  • Partially Scheduled — Some, but not all, line items are associated with a visit.

  • Fully Scheduled — All line items are associated with a visit.

These statuses help you quickly understand whether the approved work has been fully scheduled.

The Estimates table includes a Scheduled column showing the estimate’s scheduled status for all accepted estimates.

At the top of the estimate detail page, you’ll see two status chips:

  1. Estimate Status (Pending, Accepted, Declined, etc.)

  2. Schedule Status (Not Scheduled, Partially Scheduled, Fully Scheduled)

The schedule status appears once an estimate is accepted.


Scheduling Line Items from an Estimate

Line items include a dropdown menu with scheduling options:

Create a New Visit

  • Opens the New Visit form.

  • Automatically pulls customer information and the selected line item.

Add Item to an Existing Visit

  • Opens a modal showing visits associated with the property for that line item.

  • You can select an existing visit to add the line item.

  • Saving the visit updates the line item’s schedule state.

Mark as Scheduled

  • Marks the line item as “scheduled” without associating it to a visit.

  • Useful for teams who handle scheduling externally or manually.

Property Selection Prompt

If a line item is not assigned to a property, a modal will ask you to select one before continuing.

Viewing Scheduled Visits

After a line item has been scheduled, a View Visit button appears:

  • If associated with one visit, the button opens a visit preview modal.

  • If associated with a recurring series, the modal displays the series preview.


Step-by-Step: Creating a Visit from an Accepted Estimate

Step 1: Open the Accepted Estimate

  1. Go to Estimates in your Copilot dashboard.

  2. Select the accepted estimate.

Step 2: Create a Visit

  1. Click Create Event at the top of the estimate.

  2. If needed, select a property in the popup window.

Note:
If the customer does not yet have a property, go to Customers > Properties and click + Add New Property.


If you see “Customer Does Not Have a Property”, ensure each line item has a Property assigned.

Step 3: Select the Property

  1. Choose the property where the work will be completed.

  2. Click Create Visit.

Step 4: Review and Finalize Visit Details

  1. Review the pre-filled visit details pulled from the estimate.

  2. Choose a date and time.

  3. Add crew assignments, notes, or adjustments as needed.

  4. Click Create Visit.

Step 5: Confirm on the Schedule Page

Your new visit will appear on your Schedule page.
You can edit or assign it as needed.


Tip

Creating visits from estimates instead of creating visits by themselves ensures accuracy between what was quoted and what’s scheduled—keeping your sales and operations aligned and reducing manual updates.
