Scheduling a Job from an Estimate

Overview

Once a customer accepts an estimate, you can quickly create a visit (job) based on the approved line items. This ensures your scheduled work matches exactly what was quoted—saving time and reducing manual data entry.


How Visits from Estimates Work

When creating a visit from an estimate:

  • You can only add line items to a visit on the property that those line items were originally estimated for.

  • If none of the estimate’s line items are tied to a specific property, you can add those items to any property when creating the visit.


Step 1: Open the Accepted Estimate

  1. Go to the Estimates section of your Copilot dashboard.

  2. Click on the estimate that has been accepted by your customer to open its detail page.


Step 2: Create a Visit from the Estimate

  1. On the estimate detail page, click the Create Event button.

  2. A popup window will appear prompting you to choose a property for the visit.

Note:

If the customer doesn’t yet have a property listed, you’ll need to create one first.
To do this, go to Customers > Properties and click + Add New Property before returning to the estimate.


Step 3: Select the Property to Service

In the popup window:

  1. Choose the property where the work will be completed.

  2. Click Create Visit to proceed.


Step 4: Review and Finalize the Visit Details

You’ll be redirected to the New Visit page, where most fields are pre-filled based on your estimate.

  1. Review all details to ensure accuracy.

  2. Select the date and time for the visit.

  3. Make any necessary adjustments (such as assigning a crew or updating the visit notes).

  4. Click Create Visit to finalize.


Step 5: Confirm on the Schedule Page

Once created, your new visit will appear automatically on the Schedule page. From there, you can view, edit, or assign it as needed.


Example

If your accepted estimate includes a Tree Trimming line item for the customer’s “Main Residence” property, the visit will automatically pull that service into the visit for the same property.

If the estimate has no property linked, you can select any existing property when creating the visit.


Tip

Creating visits from estimates helps maintain consistency between what was quoted and what is scheduled, ensuring seamless workflow from sales to operations.
