Setup Guide: Creating an Estimate

Updated yesterday

Overview

Estimates allow you to provide customers with a detailed quote of the services or items they’re interested in before work begins. You can customize, save, and send estimates directly from Copilot.

Step 1: Open the Estimates Page

  1. Go to Finances > Estimates.

  2. Click the New Estimate button in the top-right corner.

This opens the New Estimate page.

Step 2: Enter Estimate Details

On the New Estimate page, you can:

  • Estimate Name (Optional): Give your estimate a name or title (for internal organization).

  • Customer: Select the customer from the dropdown list.

    • If the customer doesn’t exist yet, click the + button to add them.

  • Estimate # and Date: These fields are automatically generated but can be edited at any time.

Step 3: Add Items, Services, or Packages

Add Individual Items or Services

  1. In the Item or Service / Description field, start typing the name of the item or service you want to include.

  2. Select it from the list and enter the quantity and cost.

  3. Click + Add Line to add more line items as needed.

Add Packages

Packages are groups of items or services you commonly bundle together.
To add one:

  • Click the Add Package button.

  • Select the desired package from your list.

Note: All line items on an estimate are optional by default, allowing customers to pick and choose which services they’d like to approve.

Step 4: Save the Estimate

Once you’ve added all desired items or packages, click the Save Estimate button.
Your new estimate will now appear in your Estimates list under Finances > Estimates.

Step 5: Send the Estimate to Your Customer

After saving, click the Send button at the top of the estimate. You can choose one of the following delivery methods:

  • Email

  • Regular Mail (USPS)

  • Text Message

The customer can review and approve or decline the estimate directly through their Customer Portal.

Step 6: Notifications for Accepted or Declined Estimates

When your customer accepts or declines an estimate, you’ll receive a push notification.

To ensure notifications are enabled:

  1. Click the ⚙️ Gear icon in the top-right corner.

  2. Go to Preferences.

  3. Review and enable push notification settings as needed.
