Overview
Items and services in Copilot CRM help you track everything you bill for — from labor and materials to fees and recurring services. This guide covers how to manually add new items or import an existing list.
Step 1: Open the Items & Services Page
From the left-hand menu, click Resources.
Select Items & Services.
This page lets you add new items or services manually or import them in bulk from a CSV file.
Step 2: Add a New Item or Service Manually
Click the + Items & Services button.
On the Add Items & Services page, choose the Type for your entry:
Service
Item
Labor
Other
Step 3: Assign a Category
Under Category, choose an existing category from the dropdown menu.
If you need a new category:
Click the + button next to the dropdown.
Enter a Category Name and optional Description.
Click Save Category to add it.
💡 Organizing items into categories helps with reporting and consistency when creating invoices or quotes.
Step 4: Enter Item or Service Details
Fill out the following fields:
Name – The item or service name (e.g., “Lawn Mowing,” “Fertilizer,” “Fuel Surcharge”).
Quantity – The standard quantity or unit per use.
Unit of Measurement – For example, each, hour, or gallon.
Cost – The cost of the item or service.
Optional settings:
Taxable: Check this box if this item/service should include tax.
Add to All Future Invoices: Apply this item/service automatically to all new invoices created after setup.
Important: This setting does not affect existing estimates, events, or invoices.
Step 5: Save Your Item or Service
Once all fields are complete, click Save Item & Service to add it to your account.
Step 6: Import Items & Services from a CSV (Optional)
If you already have a list of items or services in another system, you can import them:
Prepare your data in a .csv file.
From the Items & Services page, choose the Import option.
Follow the prompts to upload and map your CSV fields to Copilot’s item/service structure.
Tip
Use clear, consistent naming for all items and services to make it easy for your team to select the right ones during scheduling, invoicing, and reporting.
