Completing Visits in Copilot CRM

Overview

In Copilot CRM, visits can be marked as complete directly from your Schedule or Dispatch Board. Completing a visit updates its status, triggers invoice creation (if applicable), and helps both field and office teams stay aligned on daily progress.


Overview

When a visit is completed, Copilot automatically generates an invoice for that visit.

If you prefer not to automatically create an invoice:

  • When creating or editing a visit, uncheck the Invoiceable box at the top of the visit form.

This allows you to control which visits create invoices and which do not.


Using the Schedule vs. Dispatch Board

  • Field Employees:
    Field teams should complete visits throughout the day using the Schedule page on their devices.

  • Office Staff:
    Office users can monitor and complete visits from the Dispatch Board for a full overview of the day’s routes and field activity.


Ways to Complete Visits

You can complete visits in two ways from either the Schedule or Dispatch Board.

Option 1: Complete an Individual Visit

  1. Click on the specific visit you want to complete.

  2. Click the green Complete button.

Once completed, the visit status changes to Closed, and an invoice is automatically created if applicable.


Option 2: Complete Multiple Visits at Once

  1. Use the checkboxes to select one or more visits.

  2. Click the Complete button at the top of the page.

This option is ideal for office staff closing out multiple visits at the end of the day.


Additional Notes

  • Completed visits automatically move to Closed status.

  • Invoices created from completed visits can be reviewed in the Invoices section.

  • If a visit was completed by mistake, you can reopen it using the Reopen button.


Tip

Encourage field employees to mark visits complete as they finish jobs. This keeps your Dispatch Board updated in real time, allowing office staff to track progress and manage invoicing efficiently.
