Setup Guide: Creating a Quick Dispatch Template

Overview

A Quick Dispatch Template allows you to pre-build groups of customers, properties, and services that can be deployed to your schedule in just a few clicks.


Templates are perfect for services that happen suddenly or in bulk — like snow plowing, storm cleanup, or fertilizer applications — so you’re always ready to dispatch quickly when needed.


Step 1: Open the Quick Dispatch Templates Page

  1. Go to Team > Dispatch Board.

  2. Click the Quick Dispatch Templates tab at the top of the page.

  3. This page lists all your saved templates and allows you to create new ones.


Step 2: Create a New Template

  1. Click + New Template.

  2. Give your template a clear name, such as Snow Route – North Zone or Spring Cleanup Group A.

This name will appear later when selecting templates to deploy from the Dispatch Board.


Step 3: Add Properties to the Template

  1. Click the + icon to add properties to your template.

  2. Select the customer properties you want to include in this Quick Dispatch group.

Once added, you can customize details for each property, including:

  • Invoiceable: Whether the visit should generate an invoice automatically.

  • Time Allowed: The estimated duration for the visit.

  • Notes: Any specific information or instructions for that property.


Step 4: Review Default Services and Items

When you add a property to your template, Copilot automatically includes the default services or items that were set for that property during its creation.

Note:
If this visit is for a different service (for example, Snow Plowing instead of Lawn Mowing), you can remove the default services and replace them with new ones.


Step 5: Add or Replace Services

After adding your properties:

  1. Click to add any additional services you want to include.

  2. When you select a service (for example, Snow Plowing), it is automatically applied to all properties in the template — saving you from adding services individually for each one.

This “blanket add” function makes Quick Dispatch templates extremely efficient for bulk services.


Step 6: Assign Employees or Crews

Once your properties and services are set:

  1. Assign the employees or crews who will perform the visits.

  2. You can apply the same crew to all properties or adjust assignments individually as needed.


Step 7: Save the Template

When your template setup is complete:

  • Review the details for each property.

  • Click Create Template to save it.

Your new Quick Dispatch Template will now appear in your list and can be deployed anytime from the Dispatch Board.


Example

A snow removal company creates a “Snow Route – Downtown” template that includes 85 customer properties.


Each property has “Snow Plowing” automatically applied, a 20-minute duration, and assigned crews.


When it snows, the dispatcher can instantly deploy all 85 visits for that day with just a few clicks.


Tip

Set up your templates before the busy season begins — such as in fall for snow services or spring for lawn treatments. This ensures your business can dispatch teams instantly when demand spikes.
