Introduction
The Weekly Budgeted Hour Capacity setting allows you to define how many hours an employee is expected to work each week. This helps you plan workloads, schedule efficiently, and monitor performance against team capacity.
Step 1: Open the Employee Profile
Navigate to Team > Employees from the left-hand menu.
Find and click on the employee you want to view or edit.
Step 2: Edit Weekly Budgeted Hours
Once inside the employee’s profile, scroll down to the Employee Details section.
Locate the following fields:
Daily Budgeted Hour Capacity – the number of hours the employee is expected to work each day.
Weekly Budgeted Hour Capacity – the total number of hours the employee is expected to work each week.
Enter the appropriate numbers for each field and click Save Employee to apply the changes.
Step 3: View Budgeted Hours in Reports and Scheduling
You can view budgeted hour data in several areas of Copilot to help manage workload and efficiency:
Budgeted Hour Capacity Chart – View overall capacity while managing your schedule or waitlist.
Visit Creation Page – See remaining capacity when assigning new work.
KPI Page – Review weekly performance and capacity utilization across your team.
Best Practices
Update budgeted hours whenever employee availability changes.
Use the Weekly Budgeted Hour Capacity for long-term scheduling and forecasting.
Compare Budgeted vs. Actual Hours on your KPI dashboard to track efficiency and identify potential overbooking.
