Permissions: how to restrict access for some teammates

Updated over 2 months ago

Introduction

You can control what your employees can see and do inside Copilot by customizing their permissions. This helps you protect sensitive data, delegate tasks appropriately, and ensure teammates only have access to the tools they need.

Step 1: Open Employee Privileges

  1. Go to Team > Employees.

  2. Find the employee you want to edit and open their profile.

  3. Click the Login & Privileges tab.

Step 2: Set Page Permissions

Each page in Copilot has its own set of privileges. For each page, you can allow the employee to:

  • View

  • Edit

  • Edit + Create

  • Delete

  • Or restrict access completely.

This lets you decide exactly how much control an employee has over each area of your account.

Step 3: Configure Advanced Permissions

Time Tracking

  • Allow employees to view only their own time.

  • Allow them to see all users’ time.

  • Control whether they can edit only their own time or edit other users’ time.

Events & Calendar

  • Set whether employees see all events or only events assigned to them.

  • Adjust privileges for:

    • Completing events

    • Invoicing events

    • Editing events on the calendar

Command Center (Multi-Location Accounts)

  • Restrict login to only their own account.

  • Allow access to multiple franchises.

  • Grant reporting access if needed.

Up-Sells

  • Toggle whether the employee can send Up-Sells.

  • Note: This setting is off by default.

Step 4: Set Event Completion Permissions

You can also fine-tune how employees interact with events:

  • Complete only (cannot see prices)

  • Complete + Invoice (cannot see prices)

  • Complete, Invoice, and Edit (can see prices)

  • Mark as Not Serviced

  • Delete events

Step 5: Save Changes

Once all settings are configured, click Save Employee.

Your changes will take effect immediately, restricting what that teammate can see or do inside Copilot.
