Late fees & invoice due dates

Overview

Copilot lets you define when invoices become past due and automatically apply late fees based on custom rules you create.


This ensures consistent billing practices and helps encourage timely customer payments.


Step 1: Open Invoice Settings

  1. Click the ⚙️ Settings icon in the top-right corner of your dashboard.

  2. From the left-hand menu, select Invoices, Estimates & Receipts.

  3. Scroll down to the Invoice Settings section near the bottom of the page.


Step 2: Configure Late Fee Rules

You can create rules that determine:

  • When an invoice becomes past due, and

  • How late fees are calculated.

To set up your first rule:

  1. Enter the number of days after the invoice is sent that it should be considered past due.

  2. Choose the late fee type:

    • Exact Amount — A fixed dollar amount added when the invoice becomes past due.

    • Percentage — A percentage of the total invoice amount added as a late fee.


Step 3: Add Additional Rules (Optional)

If you want to apply multiple late fee tiers (for example, different rates after 30 and 60 days), click the + Add Late Fee Rule button.
You can create as many rules as needed to match your business’s billing policy.


Step 4: Save Your Changes

After adding or editing your rules, click the Save button to apply your new late fee settings.

All new invoices sent after saving will now follow these updated due date and late fee rules automatically.

In this example:

  • The invoice becomes past due 15 days after being sent, and a 5% fee is added.

  • If it remains unpaid after 30 days, a $25 fee is added in addition.
