Tracking Mileage with Routes

Overview

The Routing capabilities in Copilot allow you to automatically track mileage for your vehicles based on assigned routes. This helps you monitor truck usage, fuel costs, and maintenance needs with minimal manual input.


Step 1: Add Equipment to Your Account

  1. Go to Resources > Trucks/Equipment.

  2. Click + Add Equipment to create a new record for each vehicle or piece of equipment you want to track.

  3. Assign the equipment to a crew during setup.

💡If your equipment is already added, you can edit an existing record at any time to assign or update its crew.


Step 2: Assign Equipment to Visits

Mileage tracking in Copilot works by linking equipment to crews who complete visits.


To ensure accurate mileage tracking:

  1. When creating or editing a visit, assign the crew who is associated with a piece of equipment.

  2. Copilot will automatically track route mileage for that assigned equipment as the visits are completed.

Example:
If “Crew A” is linked to Truck 01, every visit assigned to Crew A will log mileage for Truck 01 on that route.


Step 3: View Mileage Data in Routes

Once your equipment and visits are properly linked, you’ll be able to view mileage details when viewing your routes on the Dispatch Board.

  • The mileage value appears under the "Show Stats" button.

  • This allows your office staff to see distance covered for the day.


Step 4: Run Mileage Reports

To analyze or export mileage data:

  1. Go to the Reports tab.

  2. Scroll down to the Routes section.

  3. Open the Truck Mileage Report.

This report shows total mileage by truck, crew, or date range, making it easy to track usage patterns or prepare data for maintenance and billing.


Tip

Make sure each visit has the correct crew and equipment assigned — this ensures that mileage is logged to the right truck automatically.


Consistent assignments keep your mileage data accurate and reliable for reporting.
