Set Up Guide: Stripe

Introduction

Stripe allows you to securely collect online payments from customers inside Copilot. You can set up your Stripe account, configure processing fees, and manage auto-charge options directly from your Online Payments settings.


Step 1: Open Online Payments Settings

  1. Click the gear icon in the top-right corner of your screen.

  2. Select Set Up and Manage Online Payments.

Step 2: Connect Stripe

  1. On the Online Payments page, click Connect with Stripe.

  2. Complete the required Stripe setup form with your business details.

  3. Once finished, your Stripe account will be linked to Copilot.

Step 3: Configure Processing Fees

For Stripe, you can choose to:

  • Add no fee

  • Pass through Stripe’s exact fee

  • Apply a flat fee (added to each invoice when customers pay online)

Passing credit card fees is only available on the Enterprise plan.

Processing Fees

Passing or Absorbing Processing Fees

Copilot allows you to absorb or pass the Stripe (or PayPal) payment processing fee attached to each transaction.

  • This functionality is available exclusively on the Enterprise plan.

  • It is your responsibility to ensure compliance with local laws regarding processing fees.

Important Legal Considerations:

  • Some states and countries prohibit passing processing fees to customers.

  • Businesses that charge processing fees must offer a no-fee payment alternative to remain compliant.

  • Copilot supports this through ACH payments, which are only available on the Enterprise plan.


Credit Card Payments

Stripe charges 2.9% + $0.30 per transaction for processing credit card payments.*

  • Pro and Enterprise plans: No additional Copilot processing or application fees.

  • Solo and Starter plans: A 1% Copilot application fee is applied to all credit card transactions.

  • Enterprise plan: Credit card processing fees can be passed on to the customer if desired.

ACH Payments

ACH payments have a much lower processing cost—just 0.8% per transaction, capped at $5 maximum.

Example:

  • A $100 ACH payment incurs a $0.80 fee.

  • Any ACH payment above $625 costs the maximum $5 fee.

Note: ACH fees cannot be passed to customers and are always covered by the business.


🔒 Once Applied, Processing Fees Cannot Be Removed

Once a customer pays an invoice that includes a processing fee, that fee becomes a permanent part of the invoice record and cannot be edited or removed.

If you need to change or remove a processing fee (for example, due to customer dispute or compliance concerns):

  1. Cancel or archive the original invoice and delete the payment, if applicable.

  2. Duplicate the invoice and remove the processing fee.

  3. Send the new invoice to the customer for payment.

This ensures accounting consistency and prevents discrepancies in financial records.


Disconnect Stripe

  • Once connected, you’ll see the option to disconnect Stripe.

  • To disconnect, contact our support team through the contact info on the popup, or use the in-app chat widget (available on Starter, Pro, or Enterprise plans).

Important: Disconnecting Stripe will remove all saved payment methods (credit cards and ACH accounts) from customer profiles.
