Introduction
This article covers all estimate-related settings available in Copilot. These options allow you to control how estimates are created, formatted, and delivered to customers.
You can access estimate settings by clicking the gear icon (⚙️) in the top-right corner of your Copilot screen.
Estimate Start
The Estimate Start # defines the starting number Copilot uses when creating new estimates.
How to Edit the Estimate Start Number
Go to Settings > Preferences.
Scroll down to Estimate Start #.
Click the number field and enter your desired starting number.
Notes:
Updating this affects only newly created estimates.
If the number you choose is already in use, Copilot automatically uses the next available number.
Example: You can start numbering at “001,” “1001,” or “164582.”
Default Estimate Messages
Set default text that appears on every estimate you send.
How to Access
Go to Settings > Invoices, Estimates & Receipts.
Scroll down to Default Estimate Messages.
Available Fields
Notes Visible to Customer: Add notes you want to appear on all estimates.
Terms: Define your standard payment terms (e.g., “Please pay all invoices within 15 days of receipt.”).
Default Estimate Email Settings
These settings control how estimate emails are sent from Copilot.
How to Access
Go to Settings > Invoices, Estimates & Receipts.
Scroll down to Default Estimate Email Settings.
Available Options
Default Estimate Email Template: Select the email template used when sending estimates via email.
Attach PDF of Estimate to Email: When checked, a PDF of the estimate will be attached automatically.
Default Estimate SMS Settings
These settings control how estimate text messages (SMS) are sent.
How to Access
Go to Settings > Invoices, Estimates & Receipts.
Scroll down to Default Estimate SMS Settings.
Available Option
Default Estimate SMS Message: Select the SMS template used when sending estimates via text message.
Deposit Thresholds
Deposit Thresholds in Copilot CRM let you require customers to pay a deposit before accepting an estimate.
You can apply this rule globally to all customers or customize it for specific customers.
Example: Require a 50% deposit on all estimates over $500, or set unique deposit rules for certain clients.
Require a Payment Method on File
This setting ensures customers have a payment method saved before accepting an estimate.
How to Access
Go to Settings > Invoices, Estimates & Receipts.
Scroll down to Require a Payment Method on File (bottom of the page).
Behavior
Customers must add a payment method before accepting an estimate.
All payment methods are securely saved to the customer’s profile for future use.
