Setup Guide: Adding a New Chemical

Overview

The Chemical Tracking feature in Copilot CRM helps you record and monitor all chemicals used in your business operations. You can store important product information, supplier details, usage rates, and documentation — all in one place.


Step 1: Open the Chemical Tracking Page

  1. From your Copilot dashboard, go to Resources > Chemical Tracking.

  2. Click the + New Chemical button to create a new chemical record.


Step 2: Fill Out Required Chemical Information

The first three fields are required when creating a new chemical:

  • Chemical Name: Enter the name of the chemical you want to track.

  • Chemical Form: Choose whether the chemical is Liquid or Granular from the dropdown menu.

  • Product ID: Enter the unique product identifier for this chemical.


Step 3: Add Optional Chemical Details (Recommended)

You can enter additional details to improve traceability and record-keeping:

  • Supplier / Vendor: Track where the chemical was purchased.

  • Vendor Price Unit: Record the cost per unit paid to your vendor.

  • Lookup Code: Enter a code used internally for easy lookup.

  • EPA Regulation #: Add the official EPA registration number for compliance tracking.

  • Current Inventory: Select the unit of measurement (e.g., gallons, pounds, liters) for your inventory count.

  • Chemical Application: Record formulation and application rate, and choose your preferred unit of measurement.

  • Reason for Use: Specify why this chemical is used (e.g., Weed Control, Pest Management).

  • Notes: Add any internal notes about handling, cost, or application details.

  • Photos / Documents: Upload files such as product labels, safety data sheets, or photos of the packaging.


Step 4: Save the Chemical Record

Once all required and optional details are entered:

  • Click Save Chemical to add it to your chemical list.

Your new chemical will now appear on the Chemical Tracking page and can be referenced for compliance reporting, inventory management, and application tracking.


Example

If you’re adding a herbicide called GreenGuard 3000:

  • Chemical Name: GreenGuard 3000

  • Chemical Form: Liquid

  • Product ID: GG3000

  • Supplier / Vendor: AgriSupply

  • Reason for Use: Weed control around fence lines


Tip

Keeping chemical records complete and up to date helps ensure compliance with local and federal environmental regulations, including EPA reporting.
