QuickBooks Sync Settings

Copilot offers a 2-way sync between QuickBooks Online. This allows your customers, invoices, and payments to sync from one software to the other.

Note: The QuickBooks Sync feature is only available for the Enterprise Tier.

How to Get to the QuickBooks Sync Settings:

To get to your QuickBooks Sync settings, click the "gear" icon on the top right of the screen, then click "QuickBooks Sync."

Warnings:

“Hey Copilot family! Personally, I do not recommend syncing with Quickbooks Online and do not do so for my service businesses using Copilot. The amount of syncing issues that occur frustrates users and many of the problems are outside our control since Intuit/Quickbooks makes changes/updates to their software. The amount of issues exponentially grows when two software are syncing both directions. I recommend categorizing income in Quickbooks as Service Income. In the event of an audit, you can easily run reports on that revenue inside of Copilot. The value of connecting each invoice to each payment is outweighed by the complexities and issues we see our users go through. It is difficult to unsync Quickbooks Online without significant errors. Our support is limited when it comes to Quickbooks Online problems and I don’t want that to be a surprise. We built this feature since many requested it, but personally I feel obligated to give a thorough warning prior to performing the sync.”

  • QuickBooks Sync only works with the online version of QuickBooks.

  • If you already have the same customers in Copilot that are in QuickBooks, it may lead to duplicate customers being created in either software.

How to Connect the Two Software:

In the QuickBooks Sync page, you can navigate to the

button.

Clicking this button will make a popup window will appear where you can sign into your QuickBooks Online account, and choose the account to sync.

After you have logged in and completed the steps, your two accounts will be synced.

Sync Options

Auto-Sync Customers - If checked, customers are allowed to be auto-synced.

Only upload customers to QuickBooks if the company name does not yet exist in QuickBooks - If checked, only customers that do not have a customer with a matching company name in QuickBooks will be synced to QuickBooks.

Only upload customers to QuickBooks if customer email does not yet exist in QuickBooks - If checked, only customers that do not have an email yet in QuickBooks will be synced from Copilot.

Only download customers from QuickBooks if the company name does not yet exist in Copilot - If checked, only customers in QuickBooks that do not have a customer with a matching company name in Copilot will be synced to Copilot.

Only download customers from QuickBooks if customer email does not yet exist in Copilot - If checked, only customers in QuickBooks that do not have a customer with a matching email in Copilot will be synced to Copilot.

Auto-Sync Invoices - If checked, this allows invoices to be auto-synced.

Auto-Sync Payments - If checked, this allows payments to be auto-synced.

IMPORTANT

  1. Please DO NOT disconnect and reconnect QuickBooks, even to the same QuickBooks account. This can cause many issues that need to be fixed, such as duplicates in both accounts, missing information, and more.

  2. Canceling your QuickBooks subscription will NOT disconnect your QuickBooks account.
